This policy explains what information From The Mailroom collects, how we use it, who we share it with, and the choices you have. It applies to our website, web app, mobile apps, and the mail we send on your behalf.
From The Mailroom ("From The Mailroom," "we," "us") provides a client-care and direct mail platform for real estate agents, teams, and brokerages. When you upload your client list, you control that data and we process it on your behalf to address, personalize, and mail your pieces.
We collect the following categories of information:
Your client list belongs to you. We use it only to provide the service to you, such as addressing and personalizing your mail and sending event invitations and reminders you set up. We do not sell your client data, rent it, or use it to market to your clients. You are responsible for having the right to share your clients' information with us and for honoring any requests from your clients to stop receiving mail.
We share information only as needed to run the service:
We do not sell or share personal information for cross-context behavioral advertising.
We use essential cookies to operate the site and optional analytics cookies to understand usage. You can control cookies through your browser settings. Disabling some cookies may affect how the site works.
We send account and order emails as part of the service. Marketing emails include an unsubscribe link. If you opt in to text message notifications, message and data rates may apply, and you can reply STOP to opt out at any time. When you copy an event link to text guests yourself, those messages are sent from your own phone.
We keep account and client data while your account is active. If you close your account, we delete or de-identify your data within 90 days, except where we must keep records for legal, tax, or accounting purposes. Your client list belongs to you. A team or brokerage can't view it unless you give permission, and it is never transferred to or kept by them. When a team or brokerage discontinues your seat, the data on that seat is removed.
We use encryption in transit, access controls, and monitoring to protect your information. No system is completely secure, so we encourage you to use a strong password and keep your login private. We will notify you of a data breach as required by law.
Depending on where you live, you may have the right to:
California residents have additional rights under the CCPA and CPRA. To make a request, email hello@fromthemailroom.com. We will verify your identity before responding. Requests from your clients about data you uploaded will be referred to you.
From The Mailroom is for real estate professionals and is not directed to children under 18. We do not knowingly collect information from children.
We may update this policy from time to time. If we make material changes, we will notify you by email or in the app before they take effect. The date at the top shows when it was last updated.

These Terms govern your use of From The Mailroom. By creating an account or using the service, you agree to them. If you use From The Mailroom on behalf of a team or brokerage, you agree on its behalf.
From The Mailroom is a client-care and direct mail platform. It helps you organize your clients, tells you who to mail and when, and prints, addresses, stamps, and mails the pieces you approve. Features include templates, a custom template editor, handwriting fonts, campaigns, events, QR codes, a mobile app, and, when available, farming.
You must be at least 18 and a real estate professional or someone working on behalf of one. You are responsible for the accuracy of your account information, for keeping your login secure, and for all activity under your account.
When you check out, you authorize us to print and mail your order, and we take it from there. Once an order is sent to print, it generally cannot be canceled or changed. We mail through USPS and provide an expected delivery date, but delivery times are controlled by USPS and are not guaranteed. We are not responsible for delays, loss, or damage caused by USPS or by incorrect addresses you provide.
If a piece is misprinted or damaged due to our error or our print partner's error, contact us within 30 days of the mail date and we will reprint it or credit your account. We do not offer refunds for pieces mailed with errors in content, names, or addresses that you approved.
You own your content, including your client list, messages, photos, logos, and templates you create or upload. You give us a limited license to host, copy, format, print, and mail that content solely to provide the service. You confirm that you have the rights to everything you upload, including the right to use any photos, logos, and brokerage branding.
You are responsible for the content of your mail and for following the laws that apply to your marketing, including:
You may not use From The Mailroom to send unlawful, misleading, defamatory, harassing, or infringing content; to mail people without a lawful basis; to send anything the USPS prohibits; to interfere with or reverse engineer the service; or to share your account with others outside your seat.
Your handwriting font is created for your account and is used only on mail you send through From The Mailroom. We will not use it for anyone else. If you close your account, we delete your handwriting font.
Templates provided by From The Mailroom are licensed to you for use on mail sent through the service and may not be exported or resold. Templates you create in our custom editor or upload are yours.
Account owners can invite members, push templates, set goals, and see member activity. With a member's request, an account owner may access that member's account to help them, and those actions are logged and visible to the member. Each member's client list belongs to that member. Account owners can't view, keep, or reassign a member's clients without the member's permission. When an account owner discontinues a seat, that seat and its data are removed.
The service, software, design, and From The Mailroom name and marks are owned by us and protected by law. These Terms do not give you any rights to them beyond using the service.
We may suspend or end your access if you violate these Terms, fail to pay, or use the service in a way that could harm others or us. You can close your account at any time. Sections that by their nature should survive termination will survive.
The service is provided "as is" and "as available." We do not guarantee any particular business result, including referrals, leads, or closed deals, and estimates shown on our site are for illustration only.
To the extent permitted by law, From The Mailroom will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits or business. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.
You agree to defend and indemnify From The Mailroom against claims arising from your content, your mail, your client data, or your violation of these Terms or the law.
These Terms are governed by the laws of the State of [State], without regard to conflict of law rules. Disputes will be resolved in the state or federal courts located in [County, State], unless the law requires otherwise.
We may update these Terms. If changes are material, we will notify you by email or in the app at least 30 days before they take effect. Continuing to use the service after that means you accept the updated Terms.
